Before you begin

You need a current invitation from an Organisation Admin. Seysuite Projects is invitation-only in production, so public self-registration is not available.

Create your account

  1. Open the invitation link sent by your organisation administrator.
  2. Select Create account with invitation.
  3. Confirm the invited email address, enter your name and password, and create the account.
  4. Confirm your email if email confirmation is required, then sign in.
  5. Select Accept invitation to enter the organisation workspace.

Verify access

Check the organisation name in the workspace header and confirm that your role matches the invitation. If either is incorrect, contact your Organisation Admin before creating or changing project data.

Steps

  1. Open the organisation selector in the workspace header.
  2. Choose the organisation you want to work in.
  3. Wait for the workspace to refresh, then check the organisation name shown in the header.

Important

Projects, members, notifications, files, and activity belong to the selected organisation. Always verify the header before creating, editing, or inviting someone. The app remembers the selection in the seysuite_organisation_id cookie.

Invite a colleague

  1. Open Members from the workspace header.
  2. Enter the colleague’s email address and select the initial role.
  3. Choose Create invitation and send the invitation through the agreed business channel.
  4. Ask the colleague to use the invitation email and accept access after signing in.

Change or pause access

  1. Find the member in Members.
  2. Choose the new organisation role and select Save role, or choose Deactivate when access should stop.
  3. Choose Activate when access should be restored, then review the person’s project membership.

Protection for administrators

The organisation must always retain at least one active Organisation Admin. The database rejects a role change or deactivation that would remove the last active administrator.

Create the project

  1. Choose New project from the workspace.
  2. Enter a clear name, description, status, priority, dates, and project owner.
  3. Choose Create project, then open Settings.

Build the plan

  1. Add active organisation members to the project team in Settings.
  2. Open List and create the major phases first.
  3. Add tasks, subtasks, and milestones under the appropriate phase.
  4. Add dates, priorities, progress, and assignees.
  5. Add dependencies when one item must follow another.

A useful project brief

  • The problem or opportunity.
  • The intended outcome and acceptance owner.
  • What is included and excluded.
  • The target completion date and key constraints.

  • List: create, organise, assign, and edit phases, tasks, subtasks, and milestones.
  • Board: move work through status columns during daily or weekly coordination.
  • Gantt: review hierarchy, dates, progress, today, and dependencies on a timeline.
  • Calendar: review work with start dates and due dates against the calendar.
  • Files and Activity: find supporting material and understand what changed.

Suggested rhythm

Build and change the plan in List, coordinate movement in Board, review schedule risk in Gantt, and use Calendar for upcoming commitments.

Use comments for decisions

Add comments to the relevant work item. Record decisions, questions and answers, handoffs, blockers, and the next clear step. Keep the wording specific enough that someone joining later can understand the context.

Use files with care

  1. Create or find the relevant project work item first.
  2. Open the Files view and upload the supporting material.
  3. Use a descriptive filename and avoid uploading information the organisation has not authorised.

Review the record

  • Use Activity to understand what changed and when.
  • Use Notifications to review updates that need attention.
  • Use Reports and Audit trail when a summary or security-sensitive history is required.

Completion checklist

  1. Confirm required tasks and subtasks are Done.
  2. Confirm milestones and acceptance are recorded.
  3. Resolve or document remaining blockers and dependencies.
  4. Review dates, progress, owner, comments, files, and activity.
  5. Add a final summary comment with follow-up ownership.
  6. Set the project status to Completed in Settings.

When to archive

Keep a completed project active while the team still needs routine access. Archive it when it should leave the active project list while retaining its history and membership.

TroubleshootingAll usersI cannot sign in or my invitation does not workCheck the invited email, invitation status, password, and current reset link before contacting an administrator.

If you have not created an account

  1. Ask your Organisation Admin to send a new invitation to the correct email address.
  2. Open the newest invitation and choose Create account with invitation.
  3. Use the invited email address exactly as shown.

If your password is not accepted

  1. Check that the email address is correct and that Caps Lock is not affecting the password.
  2. Select Show password if you need to verify what you entered.
  3. Select Forgot password? and use the newest reset link sent to your email.

Still having issues?

Ask your Organisation Admin to confirm that the invitation is pending, has not expired or been revoked, and was sent to the address you are using. Never share your password with another user or with support.

Need more help?

Seysuite Projects is invitation-only. Ask your organisation administrator to send or renew your invitation if you need access. If you are already signed in, use the workspace navigation to continue working.
